How To Participate In Board Meetings

Public Participation Is Encouraged

Regular School Board meetings are held at 7 p.m. on the second and fourth Mondays of each month in the district office board room, unless otherwise specified. All Board meetings, except executive sessions, are open to the public. The Board invites district citizens to attend meetings and share their ideas and opinions.

Discussion In Advance Is Helpful...

When a person wishes to bring a matter to the attention of the Board, it is recommended but not required that the matter first be discussed with the district superintendent. Prior discussion provides time for the superintendent to gather relevant information in order that the Board may give the matter adequate consideration. Members of the public may ask the superintendent to place an item of concern on the Board meeting agenda. The request should be made in writing to the superintendent at least seven working days before the scheduled meeting.

...But Not Required

During regular Board meetings, members of the public are specifically invited to present their views in the "Concerns of Patrons" section of the agenda. Audience members are encouraged but not required to sign up before the meeting using a list provided for that purpose. Because Board members may not be familiar with an issue, they may not be able to respond at the time it is presented. However, the issue will receive study, and a response will be forthcoming. If members of the public wish to address an item that already is on the agenda, they may do so during Concerns of Patrons or when the item comes up for discussion by the Board.

Procedures for Addressing The Board

The Board Chair will invite members of the public to speak during the meeting. Any person who is invited to speak should adhere to the following procedure:

  • State your name and address, and the topic to be addressed.
  • If representing an organization or group, identify the group. A spokesperson should be designated to speak for a group of people who come before the Board with a common purpose.
  • Written/printed material intended for the Board should be given to the Board secretary for distribution.
  • Please limit comments to three minutes.

Note: The Board often does not respond to patron comments on the spot. This allows the Board additional time to research and reflect on particular issues.

Presenting Petitions

Petitions may be accepted at any Board meeting. No action will be taken in response to a petition before the next regular meeting. Petitions will be referred to the superintendent for consideration and recommendation.

Criticism Of Staff Members

Speakers may offer objective criticism of district operations and programs, but the Board will not hear complaints concerning individual district personnel. The chairperson will direct the visitor to appropriate means for Board consideration and disposal of legitimate complaints involving individuals.

How To Get Copies Of Board Meeting Agendas

A copy of the meeting agenda is available at each Board meeting. Advance copies can be found online (click here to view) or may be requested by contacting the Superintendent's Office at 541-967-4511.
